Poster Submission Guidelines

Posters at the Sustainable AI 2025 Virtual Conference offer a dynamic platform for presenting ongoing research, innovative ideas, or preliminary findings. This is an opportunity to showcase your work visually, engage with a global audience, and contribute to the discussion on AI-driven sustainability.

General Requirements

  • Eligibility: Open to students, researchers, professionals, and industry experts worldwide.
  • Categories: Submissions should represent ongoing research, preliminary findings, or innovative ideas that contribute to the theme of AI for sustainability.
  • Submission Type: Each poster submission must include:
    • A 300-word abstract summarizing your research.
    • A poster design (detailed below).
    • An optional 5-minute video to explain the key elements of the poster (for virtual presentation).

Abstract Submission

  • Abstract Length: Maximum 300 words.
  • Format: PDF file.
  • Content Structure:
    • Title: Clear and descriptive.
    • Authors: Include names, affiliations, and contact information.
    • Introduction: Provide brief context or background for your research.
    • Research Problem: Clearly define the problem or question being addressed.
    • Methods: Summarize the approach or methodology used.
    • Key Findings: Highlight preliminary results or anticipated outcomes (if available).
    • Conclusion: State the potential impact or relevance of your work.
    • Keywords: Include 3–5 keywords relevant to your research.

Poster Design Guidelines

  • Poster Dimensions: Create your poster in a 16:9 aspect ratio (landscape orientation).
  • Resolution: High-resolution images (PDF, JPEG, or PNG formats) to ensure clarity on digital displays.
  • Content Breakdown:
    • Title and Authors: Position the title at the top, prominently displaying author names and affiliations.
    • Introduction: Briefly explain the background or context of your research.
    • Research Problem/Question: Present the key research question or challenge being addressed.
    • Methodology: Use charts, diagrams, or images to clearly explain your methodology.
    • Key Findings: Highlight the most important findings in bullet points or short paragraphs. Visual elements like graphs or tables are encouraged.
    • Conclusion: Provide a summary of the research significance or future directions.
    • References: Include only essential references in a smaller font at the bottom.
    • Acknowledgments: Optional section to recognize contributions or funding sources.

Poster Design Tips

  • Simplicity and Readability:
    • Use concise language and avoid text-heavy sections.
    • Utilize clear section headings to guide the viewer through the poster.
    • Ensure a logical flow from introduction to conclusion.
  • Visual Elements:
    • Diagrams, charts, and images: Prioritize visuals that enhance understanding and are easy to interpret.
    • High-contrast colors: Use contrasting colors for text and background to ensure readability but avoid overly bright or distracting color schemes.
  • Text Size and Layout:
    • Title: 48pt+ for easy readability from a distance.
    • Headings: 36pt+ for section titles.
    • Body Text: 24pt+ for the main content to ensure clarity on screens.
    • Leave adequate white space to prevent the poster from appearing cluttered.
  • Engagement:
    • Make your poster visually appealing with a balance of text and visuals.
    • Keep your audience in mind—use terms and explanations that both specialists and non-specialists can easily understand.

Poster Presentation and Submission Process

  • Virtual Presentation:
    • Platform: Accepted posters will be presented in the virtual poster hall, where attendees can view posters and interact with presenters during designated Q&A sessions.
  • Optional Video Submission:
    • Authors are encouraged to submit a 5-minute pre-recorded video summarizing their research, explaining the visuals, and outlining key takeaways. This video will be displayed alongside the poster.
  • Live Q&A:
    • Poster presenters will be required to attend a live virtual session for Q&A with conference participants. This will allow you to engage with attendees and answer questions about your work.
  • File Formats:
    • Poster: PDF, JPEG, or PNG format.
    • Video: MP4 format for the optional presentation video.
  • Submission: All files must be submitted via the online submission portal by 10th of Jan, 2025.

Evaluation Criteria

  • Relevance: The alignment of the poster’s content with the conference theme of AI for environmental sustainability.
  • Clarity: The clarity of the research problem, methodology, and findings.
  • Innovation: Originality and novelty of the research or ideas presented.
  • Visual Appeal: The poster’s design, including its use of visuals and layout to effectively communicate the research.
